How to Share Project Progress and Get Clear Client Approval

A simple model for milestones, revisions and final acceptance.

Start with the scope everyone understands

The client portal should describe the deliverable in language both sides understand. Write the project name, expected outcome, owner and due date. If the scope changes, add a written update rather than quietly changing the original agreement. A project portal improves communication, but it does not replace a proper contract or payment terms.

Choose useful status stages

Planned means the work is agreed but has not started. Active means someone is working on the deliverable. Review means the client should inspect the latest work. Completed means the project owner considers it finished. These stages should match real progress. Avoid marking something complete just to make the dashboard look good.

Share concise progress updates

A good update says what changed, what the client should review and what happens next. For example: “Homepage layout is ready for review. Please confirm the navigation labels and whether the service list is complete.” A vague update such as “working on it” does not help the client make a decision.

Keep approval separate from completion

The owner may mark a project completed, while a client can still request revisions. Record customer approval explicitly as a separate status. Give the client a way to approve or request changes and keep those messages visible. Never assume that silence means approval. If there is a dispute, review the written scope and latest feedback.

Treat share links as private credentials

If a project portal is accessed through an unlisted token URL, anyone holding that URL can see the shared information. Send links only to intended clients, do not paste them into public social posts and avoid storing sensitive files in an unprotected portal. More advanced systems can add authenticated client accounts when necessary.
